Discussion Notes from meeting with Project Forward Leap

I am writing this email in response to the short meeting we had on Tuesday of last week (January 26). I just wanted to make sure that I heard and understood you correctly as to what you would like us to pursue for our project and for the needs of Project Forward Leap. This will help me to more completely articulate to my teammates what is desired of us.
From our conversation that we had, I gathered that you would like us to develop a working database using Microsoft Access that would store data in one location for the purpose of making the areas of Inventory, Human Resources, and Admissions more efficient and easier to manage. This database would be accessible securely through the PFL website to specific users with the proper permissions.
More specifically, the inventory system would be used to keep track of supplies purchased for each of the PFL sites and be able to generate reports to assist in tracking expenditures.
The Human Resources system would be used to store and maintain records of PFL's employees and the records that are necessary to maintain accurate and complete profiles. This would include such things as evaluations, pay amount, job title, responsibilities, etc.
The Admissions system would be used to collect and store the records of the students enrolled in the PFL program as well as records of the parents and their involvement in upholding their commitment to the program. This system would track such things as contact information, volunteer involvement, etc.
Finally, I understand that you will act as the organization contact and the person we should meet with and communicate with in order to determine desired functionality and other things. Could you please let me know if there is anyone else that we will be communicating with, such as the ladies in the Philadelphia office? I ask because this is something we need to make clear to our professor.
From our meeting last Tuesday I have come up with this description of the desired system. Please correct me if I am in error in any area or add to any part that I may have left lacking so we may understand better what you would desire of this project.
Our first step as a team is to present a project proposal to our classmates and professor and we would like you to read over this before we present it. Above is the information that we need in order to create this proposal accurately and we would really appreciate your feedback on this as well.
Also, I know we talked about your schedule and your availability to meet with us, but I failed to write that down and hoped you would be able to email that to me so we can make arrangements. Thank you for your help and the opportunity that you have given us.
